As a Client Service Associate, you’ll be an integral part of an experienced financial advisor team, helping build and maintain strong client relationships while supporting the execution of clients’ investment goals and strategies. You’ll work closely with financial advisors and fellow client service professionals, serving as an important point of contact for clients and helping ensure their needs are handled accurately, efficiently, and professionally.

What You’ll Do
Client Account Management
- Assist with onboarding new clients, including preparing necessary paperwork and ensuring all required documents are completed accurately and submitted on time.
- Handle ongoing account maintenance, including updating client information, processing address changes, and responding to questions regarding account status.
- Coordinate account transfers, rollovers, and movement of funds while ensuring accuracy and adherence to firm policies and regulatory requirements.
- Prepare for client meetings and help ensure advisors have the necessary account and client information.
- As appropriate, participate in client meetings to address service-related matters, including cash needs, required minimum distributions (RMDs), beneficiary information, trusted contacts, and other account needs.
Client Communication & Service
- Serve as a primary point of contact for clients regarding account servicing, transaction inquiries, and general questions.
- Build strong relationships with clients through responsive, professional, and thoughtful communication.
- Proactively reach out to clients to identify and address outstanding service needs.
- Help clients access and navigate their online accounts, including locating statements, transactions, and account history.
- Follow through on client requests and help ensure issues are resolved efficiently and professionally.
Advisor & Administrative Support
- Provide day-to-day administrative support to financial advisors, including scheduling appointments, preparing reports, and coordinating client meetings.
- Prepare and submit documentation for account changes, beneficiary updates, new account applications, and other client requests.
- Maintain accurate records of client interactions and ensure appropriate documentation is completed and filed.
- Help advisors stay organized and prepared so they can remain focused on delivering exceptional advice and service to clients.
Transaction Processing
- Facilitate trades, contributions, withdrawals, and other account transactions as requested by clients or advisors.
- Ensure transactions are processed accurately and promptly in accordance with firm procedures and regulatory guidelines.
- Verify that appropriate client authorization and supporting documentation are in place before processing transactions or account updates.
- Monitor requests through completion and follow up as needed to ensure a smooth client experience.
Compliance & Documentation
- Maintain accurate and thorough documentation of client interactions and account activity in accordance with industry regulations and firm policies.
- Support financial advisors in meeting compliance requirements related to client accounts.
- Review and monitor account activity to help identify discrepancies, missing information, or service issues and coordinate their resolution.
- Maintain a high level of accuracy and attention to detail when handling sensitive client and financial information.
Team Collaboration
- Work closely with financial advisors, client service colleagues, and operations professionals to deliver a seamless client experience.
- Participate in team meetings and contribute ideas and best practices for continually improving client service.
- Communicate effectively across the organization to ensure client requests and account needs are handled efficiently.
- Assist with special projects designed to improve operational efficiency, team effectiveness, and client satisfaction.

How You’ll Work With the Team
The Client Service Associate works closely with both the advisory and client service teams. Depending on the structure and needs of the team, you may report directly to a Senior Financial Advisor, with a dotted-line relationship to the Client Services Manager, or directly to the Client Services Manager when supporting multiple advisors.
Day to day, you’ll collaborate closely with your advisor team while also following the policies, procedures, and service standards established by the Client Services Manager.

- Compensation (Base + Bonus): $70,000 – $90,000 per year, commensurate with experience
